2. Key points at a glance
- This website sets no cookies and uses no analytics or tracking services. The Brevo live chat is only loaded once you expressly start it (see below).
- Fonts, images and scripts are loaded exclusively from our own server – no data is transmitted to Google Fonts, content delivery networks or advertising networks.
- Inquiries sent via our forms are transmitted in encrypted form and delivered to our sales team via the email service Brevo. The form contents are not stored on our web server.
3. Provision of the website and server log files
When you access this website, our hosting provider processes technically necessary data that your browser transmits automatically: IP address, date and time of access, page accessed, referrer URL, browser type and operating system. This data is required to deliver the website and ensure its security.
The legal basis is Art. 6(1)(f) GDPR (legitimate interest in secure and stable operation). Log files are deleted after 14 days at the latest unless they are needed to investigate a specific security incident. A data processing agreement pursuant to Art. 28 GDPR is in place with the hosting provider.
4. Contacting us
When you contact us by email, phone, live chat or via one of our forms, we process your details – such as name, company, contact details and the content of your inquiry – in order to handle your request.
The legal basis is Art. 6(1)(b) GDPR insofar as your inquiry is aimed at concluding a contract or establishing a business relationship, and otherwise Art. 6(1)(f) GDPR (legitimate interest in responding to inquiries). We delete the data as soon as it is no longer required for processing and no statutory retention obligations prevent its deletion.
Contact forms and email delivery via Brevo
When you submit one of our forms, your details are transmitted via HTTPS to our web server, checked there and passed on, without being stored, to the email service Brevo (Sendinblue GmbH, Köpenicker Straße 126, 10179 Berlin, Germany). Brevo delivers the inquiry by email to our sales team and sends you an automatic confirmation of receipt at the email address you provided. Brevo stores sending and delivery data (e.g. recipient address, time, delivery status) in accordance with its retention periods.
A data processing agreement pursuant to Art. 28 GDPR is in place with Brevo; the data is processed in data centers in the EU. The legal basis is Art. 6(1)(b) or (f) GDPR (see above). Further information: Brevo’s privacy policy.
To protect against abuse (spam, automated mass requests), our server briefly processes an irreversible hash of your IP address; it is discarded after 10 minutes at the latest. To prevent confirmations of receipt from being misused to send messages to third parties, we also store an irreversible hash of the email address provided for no more than two days. No cookies are set and no third-party CAPTCHA services are used.
So that we can show your details to you again on the confirmation page after submission, they are briefly stored in your browser’s session storage (sessionStorage). The data does not leave your device and is deleted automatically as soon as you close the browser tab (§ 25(2) no. 2 TDDDG – technically necessary for the service you requested).
Live chat (Brevo Conversations)
For our live chat we use Brevo Conversations, provided by Sendinblue GmbH, Köpenicker Straße 126, 10179 Berlin. The chat is not loaded automatically: only when you click “Start chat” and consent to loading is the chat software loaded from Brevo’s servers. In the process, your IP address, technical information about your browser, the pages of this website you view during the chat, and your chat messages and any contact details you voluntarily provide are transmitted to Brevo. Brevo stores an identifier in your browser (local storage/cookie) so that the conversation history is preserved. We store your consent in your browser’s local storage so that the chat is available on other pages.
The legal basis is your consent (Art. 6(1)(a) GDPR, § 25(1) TDDDG). A data processing agreement pursuant to Art. 28 GDPR is in place with Brevo. We delete chat histories as soon as they are no longer required to process your inquiry. You can withdraw your consent at any time with effect for the future:
5. Transfer to the USA
Our company is based in the USA. Your inquiries are therefore handled by our team in the USA. The transfer is based on Art. 49(1)(b) GDPR, as it is necessary for the implementation of pre-contractual measures taken at your request, or on Art. 49(1)(c) GDPR in the case of existing business relationships.

Our website contains links to LinkedIn, Instagram, YouTube, X and other websites. These are simple links; no data is transmitted to these providers when you visit our site. The privacy policy of the respective provider only applies once you click a link.
7. Your rights
You have the right of access (Art. 15 GDPR), rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18), data portability (Art. 20) and to object to processing based on legitimate interests (Art. 21 GDPR). To exercise these rights, simply contact us informally at sales@tropicalacai.com.
You also have the right to lodge a complaint with a data protection supervisory authority, in particular in the member state of your habitual residence or place of work.
